1. Acceptance of Terms
By creating an account and using DocuProjects, you confirm that you have read, understood, and agreed to these Terms and Conditions and the Privacy Notice.
2. Nature of Service
DocuProjects is a cloud-based Software-as-a-Service (SaaS) platform offering multiple business modules and services, which may include CRM, quotations, invoicing, project costing, employee and attendance management, automated timesheets, reports, OCR features, workflow automation, document management, and other related functionality. DocuProjects modules may be offered individually or together. The features available to a customer will depend on the modules, services, user access, employee limits, or other usage entitlements selected or agreed for that customer.
3. Pricing Models, Subscriptions, and Prepaid Credits
DocuProjects may offer different pricing models depending on the product, module, feature, number of users or employees, usage volume, implementation requirements, or services selected. Certain DocuProjects products or features may operate on a prepaid credit or pay-as-you-use basis. Other products or modules, including project costing, attendance, workforce management, or related SaaS modules, may be charged on a monthly, annual, per-user, per-employee, module-based, usage-based, or other agreed pricing basis. The applicable pricing, billing frequency, included modules, usage limits, and entitlements will be communicated to the customer through the DocuProjects website, quotation, order form, invoice, commercial proposal, or other written agreement. Where prepaid credits apply, credits must be purchased before using the relevant paid feature unless otherwise agreed in writing by DocuProjects. Where subscription or recurring fees apply, continued access may depend on payment of the applicable fees for the relevant billing period. DocuProjects does not provide postpaid credit facilities, deferred payment arrangements, or credit lines unless expressly agreed in writing.
3.a) Separate Modules and Commercial Plans
DocuProjects may provide different products and modules under separate commercial plans. For example, CRM and related sales functionality may have a pricing structure different from Project Costing, Attendance, Timesheets, Workforce Management, or other DocuProjects modules. Customers may therefore be charged based on the specific modules they use, the number of authorized users or employees, usage levels, implementation requirements, or other commercial criteria applicable to the selected service. Purchasing or subscribing to one DocuProjects module does not automatically include access to every other DocuProjects module unless expressly stated in the applicable plan or agreement.
4. Payments, Credit Activation, and Refunds
Credits are added only after payment is received and confirmed by DocuProjects. All payments are final and non-refundable. This includes credit purchases, feature usage, service fees, and any other charges paid to DocuProjects.
5. One Company Per Account
Each account is intended for use by one company only. Separate companies must register separately. Multi-company usage is not permitted unless expressly approved in writing by DocuProjects.
6. Suspension, Restriction, and Termination
DocuProjects may suspend, restrict, disable, or terminate access, with or without notice, where suspicious activity, misuse, fraud, payment concerns, security concerns, legal risks, abuse of services, or breaches of these Terms are identified.
7. Data Hosting and Security
DocuProjects may host and process customer data using AWS infrastructure or other approved cloud infrastructure providers selected by DocuProjects. Reasonable technical and organizational security measures are implemented to protect user data; however, uninterrupted availability and absolute security cannot be guaranteed.
7.a) International Data Hosting and Processing
DocuProjects Technologies operates from Dubai, United Arab Emirates. Customer data may be stored, processed, or transferred using infrastructure located outside the United Arab Emirates, including AWS Mumbai Region (India) or other infrastructure regions selected by DocuProjects or its infrastructure providers. By using the service, users acknowledge and consent to such cross-border data storage and processing.
8. Data Retention and Inactivity
Accounts that remain inactive (no logins) and non-payments for 12 consecutive months may be scheduled for closure. We will send advance notices to the registered email address before disabling an account or deleting customer data. Customers will be given an opportunity to reactivate the account or export their data. Certain records may be retained where required by law, tax, security, fraud-prevention or dispute-resolution obligations.
9. User Responsibility
Users are solely responsible for the legality, accuracy, backup, integrity, and proper use of their data, records, uploaded documents, and activity within the platform.
10. Governing Law and Dispute Resolution
These Terms shall be governed by the laws of India. In the event of any dispute, the parties agree to first attempt resolution through good-faith discussions and mutual communication. If the dispute cannot be resolved amicably, it shall be subject to the jurisdiction of the competent courts in India.
11. Privacy Notice
By registering and using DocuProjects, users consent to the collection, storage, processing, and use of account information, operational data, usage activity, uploaded content, and related information reasonably required to provide, maintain, secure, improve, and support the service.
11.a) Account and Data Deletion Requests
Users may request account and data deletion at any time by contacting support at hello@docuprojects.com. Upon verification, associated account data may be deleted unless retention is required for legal, tax, audit, dispute, fraud prevention, or security obligations.
12. Camera and Gallery Permissions
The mobile application may request access to the device camera and photo gallery solely for business-related features such as OCR processing, business card scanning, document uploads, profile uploads, and related workflow actions initiated by the user. DocuProjects does not access the camera or gallery without user interaction and permission.
13. OCR and AI-Based Extraction
Certain features may use OCR (Optical Character Recognition), AI-assisted extraction, or automated document processing technologies to process business cards, invoices, images, documents, or uploaded content for workflow automation and lead capture purposes. Users are responsible for reviewing and verifying extracted information before use.
14. Third-Party Services
DocuProjects may rely on third-party infrastructure, payment processors, analytics providers, email delivery services, OCR providers, AI providers, and cloud services for platform functionality. Such services may process limited operational data as necessary to provide functionality.
15. Limitation of Liability
To the maximum extent permitted by applicable law, DocuProjects shall not be liable for indirect, incidental, special, consequential, data-related, or business interruption losses arising from the use of the platform, including but not limited to downtime, data loss, unauthorized access, third-party failures, or user misuse.
16. Changes to Terms
DocuProjects reserves the right to modify, update, or revise these Terms and Privacy Policy at any time. Continued use of the platform after updates constitutes acceptance of the revised Terms.
